1. Who we are

This policy explains how Factory Direct Ontario Inc., operating as Factory Direct Windows and Doors ("Factory Direct Ontario", "we", "us"), collects, uses, shares and protects personal information when you visit factorydirectontario.ca, ask for an estimate or become a customer. We follow the Personal Information Protection and Electronic Documents Act (PIPEDA) and its ten fair information principles.

Our Privacy Officer is accountable for this policy and can be reached at Factory Direct Ontario Inc., 4845 Rue Jean-Talon O, Montréal, QC, info@factorydirectontario.ca.

2. What we collect

  • Estimate requests. When you use our estimate form we ask for your first and last name, phone number, email address, the area you live in, the products you are interested in and, if you choose, the approximate number of openings.
  • Visits and quotes. If you book an in-home estimate or become a customer, we collect your address, details and measurements of your windows and doors, photos of the openings taken with your permission, the products and prices in your quote, your contract, installation notes and warranty records.
  • Messages. What you tell us by phone, email, text or social media.
  • Payments. Deposit and payment records. If you finance a project, the financing company collects your credit information directly; we only receive the approval status and the terms you accept.
  • Technical data. Our web host records standard server logs, such as IP address, browser type, the page requested and the date and time, to keep the site secure and working.

We do not ask for your social insurance number, and we do not knowingly collect information from anyone under 18.

3. Why we use it

We use your information only for purposes a reasonable person would expect:

  • to answer your request, call or email you about it and book your free estimate;
  • to prepare your written quote, supply and install your products and honour your warranty;
  • to help you prepare paperwork for rebate programs, such as the Home Renovation Savings Program, when you ask us to;
  • to keep accounting, tax and legal records; and
  • to keep the website secure and fix problems.

We will ask for your consent before using your information for any new purpose.

By sending the estimate form, you consent to us contacting you about your request by phone, email or text. You can withdraw consent at any time by writing to us, subject to legal or contractual limits. If you withdraw it, we may not be able to complete your quote or installation.

We follow Canada's Anti-Spam Legislation (CASL). We will only send you newsletters or promotions if you agree to receive them or if the law otherwise allows it, and every message will include a working unsubscribe link.

5. Who we share it with

We do not sell or rent your personal information. We share it only as needed with:

  • Service providers who work for us under contract, such as our web host, email and customer-management software, and accounting services;
  • Our installation crews and suppliers, so they can measure, build and install your order;
  • Factory Direct Windows and Doors Inc. (Factory Direct Montréal), which licenses our brand and may supply products or warranty support for your order;
  • A financing company, such as Financeit, only if you choose to apply for financing; and
  • Authorities, when the law requires it or to protect our rights in a dispute.

Each provider may use your information only for the service it performs for us and must protect it.

6. Cookies and third-party services

  • No tracking cookies. This site does not currently use analytics, advertising or tracking cookies. If we add any, we will update this policy and, where required, ask for your consent first.
  • Language choice. Your browser stores your English or French choice (the key fdo-lang) on your own device. It is never sent to us, and you can clear it in your browser settings.
  • Google Fonts. Our typeface is loaded from Google's servers, which receive your IP address and browser details. See Google's privacy policy.
  • Links. Links to Instagram, Facebook, Google Maps, Financeit, homerenovationsavings.ca and other sites take you to services that have their own privacy policies. We are not responsible for them.

7. Where your information is stored

Some of our service providers may store or process information outside Ontario or outside Canada, including in the United States. While it is there, it is subject to local laws and may be accessed by courts, law enforcement or national security authorities of that country. We choose providers that protect information to a standard comparable to Canadian law.

8. How long we keep it

  • Estimate requests that do not lead to a contract: up to 24 months, then deleted.
  • Customer files: for as long as your warranty is in force and at least six years after the last related tax year, as Canadian tax law requires.
  • Server logs: kept by our host for a limited period, usually a few weeks.

When we no longer need information, we delete it or make it anonymous.

9. How we protect it

We use reasonable physical, organizational and technical safeguards, including encrypted HTTPS connections, access limited to staff who need it, and password-protected accounts. No system is perfectly secure. If a breach of security creates a real risk of significant harm to you, we will notify you and the Office of the Privacy Commissioner of Canada as PIPEDA requires.

10. Your rights

You can ask to see the personal information we hold about you, ask how it has been used and shared, and ask us to correct it. Write to our privacy officer at info@factorydirectontario.ca. We may need to confirm your identity. We will answer within 30 days and at no cost, except where the law allows a reasonable fee that we will tell you about in advance.

If you are not satisfied with our answer, you can complain to the Office of the Privacy Commissioner of Canada (1-800-282-1376).

11. Changes to this policy

We may update this policy. The date at the top shows the latest version. If we make an important change, we will say so on this page.
